- Ixion is the Data Controller of the information it holds or will hold on you.
- Ixion has a Data Protection Officer, and contact details for this person may be obtained by writing to the Data Protection Mailbox (data.protectionmailbox@shaw-trust.org.uk).
- We may collect personal information directly from you, from an organisation that introduces you to our programmes, or other organisations you agree for us to contact. The information may come from application forms, letters, emails or text messages, written material, or discussions.
- Name, address, and telephone number, to enable us to contact you.
- Date of birth and National Insurance number, to identify you.
- Bank account details, if we make payments to you.
- Racial or ethnic origin, for statistical purposes and to meet any related needs.
- Disability or health status, to tailor our services to your needs.
- Any criminal record you may have, so we can provide advice and guidance to you.
- Information relating to your work history and past experience.
- Details of jobs you apply for and activities you undertake on our programmes, to help you increase your skills, and find / stay in employment.
- Specialist Organisations such as referral agencies for example, Job centre plus.
- Pseudonymised data with the Contract Funder, Higgins Group PLC.
- Hammersmith and Fulham Council who may audit data collected from learners who engage in the programme
- Potential or actual employers.
- Other organisations necessary for your full participation on the programme e.g. the organisers of courses or sessions which you wish to attend.
- Other parties, as is necessary for the purpose of, or in connection with, any legal proceedings (including prospective legal proceedings).
Your resonsibilities
To ensure the security of your own data (including printed material such as CVs, training records) at all times, including when on the premises of Ixion part of Shaw Trust. Ixion cannot accept responsibility for the loss or theft of your personal data if caused by your own negligence.
In particular, Ixion has the following legal bases for the processing of your personal data:
For non-special / non-sensitive data:
- It is needed for the performance of a contract you have with us, or to enter a contract, such as accessing our services.
- It is necessary for Ixion’s legitimate interests, specifically enabling us to provide the services we are commissioned to deliver by government departments and other organisations; and delivering one of our core values by supporting our customers to achieve their right to inclusion and independence, through our work and disability programmes.
In addition, the basis for processing special category data, such as health information, is that you have signed the consent box at the bottom of this notice. However, you must be aware that, if you do not give us permission to collect or store your special category data, this may limit the services we can offer you and therefore reduce their effectiveness.
In addition to the above bases, Ixion may also process any of your personal data for other reasons where it has received your explicit, freely given consent.
You have certain rights, which include:
- The right to be informed about the collection and the use of their personal data.
- The right to access personal data and supplementary information.
- The right to have inaccurate personal data rectified or completed if it is incomplete.
- The right to erasure (to be forgotten) in certain circumstances.
- The right to restrict processing in certain circumstances.
- The right to data portability, which allows the data subject to obtain and reuse their personal data for their own purposes across different services.
- The right to object to processing in certain circumstances.
- Rights in relation to automated decision making and profiling.
