Who we are
South Yorkshire Mayoral Combined Authority (SYMCA) is the Data Controller for the information you provide through this Expression of Interest (EOI) form. Shaw Trust acts as a Data Processor on behalf of SYMCA to collect and handle this information securely.

Purpose of this form
The information you provide will be used to process your Expression of Interest for the Pathways to Work programme. This helps us determine your eligibility for employment support and allows our team to contact you to discuss next steps.
This form is used solely to collect initial information from individuals expressing interest in the Connect to Work programme. Shaw Trust processes your details on SYMCA’s behalf to assess eligibility and support referrals. You will be referred to SYMCA’s full privacy notice at the Expression of Interest stage for further details on how your information is used across the wider Pathways system.
What information we collect
We collect the following personal information from you:
Identity details Full name, date of birth: To identify you and confirm eligibility based on age and location criteria.
Contact details Email address, telephone number, home address, and postcode: To contact you about your enquiry and confirm your location within the Sheffield area.
Employment information Employment status (e.g. employed, unemployed, self-employed, not working) To assess which employment support services may be suitable for you.
Referral details Name and organisation of referrer (if applicable): To record how you were referred to the programme and ensure follow-up with referral partners.
Consent record Confirmation that you have read and agreed to this privacy notice (via tick box or timestamp): To evidence your consent to processing at this stage.
Technical data (minimal): Submission timestamp, IP address, and email routing data processed via Brevo (our secure email service provider): To maintain the security and integrity of form submissions and delivery.
Lawful basis for processing
We rely on your consent to process the personal data submitted through this EOI form.
If you go on to join the Connect to Work programme, your information will then be processed under legitimate interests or contractual necessity to deliver employment support.
You can withdraw your consent at any time by contacting data.protectionmailbox@shaw-trust.org.uk.
How your information will be used and shared
Your details will be reviewed by the Pathways to Work team to assess your eligibility.
If you are eligible, limited information (such as your name, date of birth, postcode, and contact details) may be shared securely with:
- South Yorkshire Mayoral Combined Authority (SYMCA) – for programme oversight and eligibility checks
- The Department for Work and Pensions (DWP) – where required for audit or reporting purposes
Your information will be transmitted securely via Brevo (email service provider) to the Connect to Work team and stored on Shaw Trust’s secure WordPress platform hosted on Microsoft Azure (UK South).
How long we keep your information
- If you do not go on to participate in the programme, we will keep your data for up to 3 years from the date of submission.
- If you do participate, we will retain your records for up to 6 years after your involvement ends to meet funding and audit requirements.
After this period, your data will be securely deleted.
Your rights
Under UK data protection law, you have the right to:
- Access the personal data we hold about you
- Ask us to correct or erase inaccurate information
- Withdraw consent for processing
- Object to or restrict certain uses of your data

All processing of Connect to Work data is carried out under SYMCA’s data protection framework and documented instructions, with Shaw Trust maintaining appropriate security measures as a Data Processor.
